International flights to and from China are booked separately — we advise on timing and routing but do not book flights as part of the programme fee. Travel insurance is required for all participants but arranged separately. Personal spending, shopping and individual extras at meals are not included. How to Reduce Costs Without Reducing Quality

Every group has a budget and every budget has constraints. The good news is that there are several ways to meaningfully reduce the per-person cost of a China programme without compromising the elements that make it valuable. These are the approaches we consistently recommend:

Reduce Hotel Standard Biggest Saving

Dropping from 5-star to a strong 4-star property is the single most effective cost reduction available. A well-located 4-star business hotel in Beijing or Shenzhen is entirely appropriate for student and university groups and reduces accommodation costs significantly. The learning outcomes are not affected — students sleep in hotels, they do not study there.

Increase Group Size Very Effective

Fixed costs — programme director, vehicle hire, venue fees — are spread across more participants when group size increases. A group of 28 pays meaningfully less per person than a group of 15 for exactly the same programme. Consider combining two class cohorts, or opening the programme to alumni or partner institution participants.

Choose Two Cities, Not Three Effective

A focused two-city programme (Beijing and Shenzhen is our most popular combination) consistently delivers better learning depth than a rushed three-city tour. It also costs less — one fewer intercity flight, one fewer hotel check-in day and simpler logistics throughout. Depth beats geography every time.

Travel in Shoulder Season Good Saving

January, June and December offer meaningfully lower hotel rates than peak months (September, November, March), with no significant reduction in programme quality. Many schools and universities successfully reduce the per-student cost through alumni donations, corporate sponsorship, departmental budget contributions or grant applications. ❌ Company Visit Access

BYD, DJI, Baidu and iFlytek are the visits that make China study tours genuinely transformative rather than merely interesting. Substituting these with easier-to-access but less significant companies reduces the programme's strategic value substantially. The access we provide to these companies is the product — not a premium add-on. This is not an area to reduce.

The False Economy of Cheap Programmes

We occasionally encounter groups who have been quoted very low prices for China programmes by operators who have achieved this by removing the elements that make the programme valuable — replacing premium company visits with generic factory tours, using junior guides instead of specialist programme directors, and cutting structured facilitation in favour of sightseeing. These programmes are cheaper, but they do not deliver the learning outcomes that justify sending a group to China. Why don't you publish fixed prices on your website?
Because no two programmes are the same and a fixed price would either overstate or understate the cost for most groups. A group of 10 executives visiting Beijing and Shenzhen for 5 days with luxury hotel accommodation and government-level dinners has a very different cost profile from a school group of 35 students visiting the same cities for 7 days in 4-star hotels. Publishing a single price for both would mislead both groups. We prefer to prepare a detailed, accurate proposal for your specific requirements — it takes us 48 hours and costs you nothing.
Can we pay in instalments?
Yes. Our standard payment structure is a deposit on confirmation with the remaining balance due 4 weeks before departure. For institutions with specific budget cycle constraints — such as academic institutions that allocate budgets by term or financial year — we can discuss adjusted payment schedules. We issue professional invoices in USD, GBP, EUR or your preferred currency, with full documentation required for institutional procurement processes.
What happens to our deposit if the programme is cancelled?
Our cancellation terms are clear and are included in every proposal we issue. Cancellations more than 90 days before departure attract a small administrative fee. Shorter notice cancellations attract graduated fees reflecting costs already incurred in programme preparation and supplier commitments. We strongly recommend all groups purchase comprehensive travel insurance including trip cancellation cover — this protects against most scenarios that would cause a programme to be cancelled.
Can we request a programme that fits within a specific per-person budget?
Absolutely. If you share your per-person budget target with us along with your key requirements, we will design the best possible programme within that budget — recommending where to invest (company visit access and interpretation quality) and where to be flexible (hotel tier, city selection, duration) to maximise learning value within your constraint. We will also let you know clearly if your target budget is not achievable for your requirements, rather than designing a programme that compromises the elements that make it valuable.
Do participants need spending money beyond the programme fee?
Yes. While the programme fee covers all group meals, transport and activities, participants will want personal spending money for shopping, optional personal activities, personal drinks at meals and any individual extras. We provide guidance on reasonable personal spending amounts for each city in our pre-departure briefing pack — it varies significantly depending on whether participants plan to do significant shopping. We recommend participants bring local Chinese currency (RMB) for smaller personal purchases, as major card payments work at hotels and larger establishments but not everywhere.
