Practical Guide: Visas, Timing & Budget for China Study Tour (CST)s

Everything you need to plan the practical side of a China study tour or business delegation — visa requirements by nationality, the best times to travel, key dates to avoid and how to think about programme budgeting.

📋 Visa · Timing · Budget · Planning 🎓 Schools · Universities · Business Groups 📖 12 min read Updated May 2026

The academic design of a China study tour is where most organisers start — and rightly so. But the practical infrastructure of visas, timing and budget determines whether the programme actually happens, who can participate and whether it runs smoothly from start to finish.

This guide covers the practical essentials that every school, university and business group needs to understand before confirming a China programme. It draws on 20 years of organising China visits from over 30 countries — managing visa applications for hundreds of nationalities, navigating China's holiday calendar and designing programmes across a wide range of group sizes and objectives.

Visa-Free Entry: Which Countries Qualify

China's visa-free policy has expanded significantly since 2024. As of 2026, citizens of 50+ countries can enter China without a visa for stays of up to 30 days — covering most European countries, Australia, New Zealand, Japan, South Korea and many others. This makes group travel considerably easier to arrange than it was just two years ago.

Always Confirm Before You Book

China's visa-free policy is updated regularly. We check the current visa status for every participant nationality individually before any programme is confirmed — nationalities vary, and policies can change. Contact us and we will confirm your group's exact requirements at no charge.

The 240-Hour Visa-Free Transit Policy

This allows some groups to complete a 7–10 day programme without a formal visa application. We advise on the specific routing requirements for each group individually — contact us to check if this applies to your nationality.

Visa Types for Study Tours & Delegations

For nationalities that require a Chinese visa, there are several types depending on the purpose of the visit. Choosing the correct category avoids delays and rejection.

Most Common for Business Groups

M Visa — Commercial / Business

The standard visa for business delegations, corporate groups and most professional study tours where the primary purpose is company visits and business meetings.

  • We provide official invitation letters for all M visa applications
  • Standard processing: 4 business days
  • Express processing: 1–2 business days
  • Typically valid for single or double entry, 30–90 days

For University & School Groups

L Visa — Tourist / Group

The tourist visa, applicable for educational and cultural study tours. Group L visas are available for groups of 5+ through authorised agencies — simpler and faster than individual applications.

  • Our invitation letter supports all L visa applications
  • Group visa processing typically 4–7 business days
  • Suitable for school trips and university study tours
  • Most common choice for educational groups

For Long-Term Study Programmes

X Visa — Student

For programmes involving enrolment at a Chinese educational institution. Not typically needed for 7–14 day study tours — the L or M visa is more appropriate for short visits.

  • X1: long-term study (180+ days)
  • X2: short-term study (under 180 days)
  • Requires official acceptance letter from Chinese institution
  • Rarely needed for our short-programme groups

For Government Delegations

J / G — Official / Transit

For accredited journalists and official government delegations. Requires specific supporting documentation. We advise on the application process for official delegations — allow additional lead time.

  • G visa: for transit passengers
  • J visa: for accredited media representatives
  • Official delegations: allow 8–12 weeks minimum
  • We guide through the full application process

How We Support Your Visa Application

Managing visa applications for a group of 15–40 people from multiple nationalities is one of the most time-consuming parts of China trip logistics. We handle this for every group we work with.

1

Nationality Check

We check current visa requirements for every participant nationality individually — not just the group majority.

2

Invitation Letters

We issue official invitation letters on company letterhead for every participant who needs one for visa or entry purposes.

3

Application Guidance

Step-by-step application guide sent to each participant, customised for their nationality and local Chinese embassy.

4

Tracking & Follow-Up

We track visa application status and follow up on any delays or additional documentation requests.

Key Lead Time Reminder

Allow a minimum of 4 weeks from application to visa receipt for most nationalities. For groups with multiple nationalities or during peak periods, allow 6–8 weeks. We recommend starting the visa process at least 8 weeks before departure — we will guide you through every step.

Best & Worst Times to Travel to China

Timing your China programme correctly makes a significant difference to logistics, company visit access and the overall quality of experience. Several key periods in China's calendar create major disruptions that are important to plan around.

Key Dates to Avoid

Chinese New Year — Most Important Date to Avoid

Chinese New Year (Spring Festival) falls between late January and mid-February, varying by up to 5 weeks each year. It is the single most disruptive period for travel to China — factories close for 1–3 weeks, hotels become very expensive and transport is chaotic. We do not run programmes during this period. We will confirm the exact dates for your target year when you enquire.

Period Typical Dates Impact Our Recommendation
Chinese New Year Late Jan – mid Feb Severe — factories close, travel chaos Avoid 2 weeks before and 2 weeks after CNY date
Golden Week (National Day) Oct 1–7 Severe — all factories close Avoid Oct 1–8. Resume from Oct 9.
Canton Fair Phase 1 First 2 weeks of April Guangzhou only — hotels expensive Avoid Guangzhou. Other cities unaffected.
Canton Fair Phase 2 Mid-late October Guangzhou/Foshan — prices surge Book Guangzhou hotels 3+ months in advance or avoid.
Labour Day May 1–5 Minor — 5-day holiday Avoid May 1–5 only. May 6 onwards is excellent.

Our Recommended Windows

Based on 20 years of programme delivery, our top four travel windows are: March, May 6–31, September and November. These four windows consistently deliver the best combination of weather, factory access, hotel availability and university session timing. Tell us your preferred dates and we will confirm if they work for your programme.

What Affects Your Programme Budget

Every China study tour programme is different, and costs vary significantly based on your group's specific objectives, size and standard requirements. Rather than publish fixed prices — which rarely reflect the true cost of a well-designed programme — we prefer to prepare a detailed, itemised proposal based on your actual needs.

Understanding the key cost factors helps you plan your institutional budget before requesting a proposal. Here are the main variables that determine the overall programme cost:

🏨

Accommodation Standard

Hotel choice is the single biggest cost variable. We work across 4-star business hotels (appropriate for student and university groups) through to 5-star international brands and luxury properties for executive delegations. We recommend the right standard for your group profile and budget, and can present options at different price points.

👥

Group Size

Larger groups spread fixed costs — programme director fees, venue hire, coordination — across more participants, significantly reducing the per-person cost. Our most cost-efficient programmes typically run with 20–35 participants. Smaller groups are absolutely possible but carry a higher per-person cost.

📍

Cities & Duration

Each additional city adds intercity travel costs, an extra hotel night and additional logistics. A focused two-city programme (typically Beijing + Shenzhen) delivers excellent depth at lower cost than a three-city programme. We advise on the most cost-effective routing for your specific objectives.

🏭

Company Visit Access

Premium company visits — BYD, DJI, Huawei, iFlytek — require advance relationships, coordination and in some cases access fees. This access is a core part of our value and cannot easily be arranged independently. We include the right company visits for your programme objectives and include all costs transparently in our proposal.

🌐

Interpretation & Support

A senior bilingual programme director who understands your sector costs more than a general guide — and runs a dramatically better programme. We include appropriate interpretation support for every programme and can arrange specialist technical interpreters for specific company visit sessions.

📅

Travel Season

Booking in shoulder months (January, June, December) versus peak months (September, November) can reduce hotel costs meaningfully. Booking 6+ months in advance secures better rates across hotels, flights and company visit slots. We advise on timing that optimises both programme quality and cost.

How to Get an Accurate Budget for Your Group

The most accurate way to understand your programme cost is to share your specific requirements with us — group size, nationality mix, target cities, programme duration, accommodation standard and key objectives. We will prepare a fully itemised proposal within 48 hours, with transparent costs broken down by component, so you can present a clear budget to your institution or leadership team.

Practical FAQ

How far in advance should we start planning?
We recommend beginning at least 4–6 months before your intended departure. For peak periods (September–November, March–May) and programmes requiring premium company access such as BYD or DJI, 6–8 months is ideal. The company visit confirmation process benefits significantly from longer lead times — and early booking typically secures better hotel rates and flight pricing.
Can students and participants use their phones normally in China?
Yes, with one important preparation: Google, WhatsApp, Instagram and most Western platforms require a VPN to access in China. We provide all participants with a VPN recommendation and briefing before departure — downloaded and tested before leaving home. With a VPN, all normal apps work. We also arrange local SIM cards for all participants on arrival so they have a China data plan from day one.
How do participants pay for personal expenses in China?
China is largely cashless — most local transactions use WeChat Pay or Alipay. International bank cards work in major hotels and larger restaurants. We recommend participants bring local currency (RMB) for personal spending, which can be exchanged at airports or banks. We provide full guidance on payment options in our pre-departure briefing pack, including which international cards work best.
What insurance do participants need?
We require all participants to carry comprehensive travel insurance including medical treatment, medical evacuation, trip cancellation and personal liability cover. We advise on suitable insurance providers for your group's origin country at the time of booking. Standard bank or credit card travel insurance often has insufficient medical evacuation limits for China — we will flag this specifically when reviewing your group's insurance arrangements.
Can we combine a China programme with Hong Kong?
Yes, and it is a popular addition. Hong Kong is 30 minutes from Shenzhen by metro rail, making it very easy to add 1–2 days. Hong Kong offers a distinct perspective on the contrast between Common Law and Chinese legal systems, a different business culture and unique financial case study material. We can arrange the full programme across mainland China and Hong Kong as one seamless experience.
What dietary requirements can be accommodated?
We collect all dietary requirements before departure and communicate them to every restaurant and hotel in advance. Vegetarian, vegan, halal, gluten-free and most allergen-specific requirements can be reliably accommodated in Beijing, Shanghai and Shenzhen. Halal food is widely available in all major cities. We recommend participants with severe allergies carry a translated allergy card in Mandarin — we provide this as part of our pre-trip pack.
